Inventory & Warehouse Management System deals with all the aspects of Warehousing & stocking of finished goods or raw materials. It can be integrated with the EMS(Enterprise Management System) & Procurement Management System or can be used as a standalone. The system can also be incorporated into any ERP package after customisation. The system can be used to generate various reports to monitor the status.

The system takes care of all the transactions that are performed in the daily working of warehouse apart from this the system produces a large number of reports & also provides many other utilities that are described below.

Material supply is generally handled by techniques like LIFO (last in first out), FIFO (first in first out), Weighted average or Random techniques the system facilitates the use of any of these methods as specified by the user.WIP activities are also taken care of by the system.

 

TRANSACTIONS: -The various transactions that the system facilitates are as follows.

Material Receipts: -The system accepts the entry of material into the warehouse by the following three ways.

* From external parties.
* From production receipts.

The system maintains following details of MRN(Material Receipt Note).

The Purchase order number against which material is being received, The supplier code,supplier name,details of item quantity received, item quantity accepted, item quantity rejected, Transporter details ,challan ,octroi,invoice details,details of inspections performed on received material is also maintained by the system which would include inspecting authority name,date & inspection certificate details. The system also maintains stocking details about material received upto the zone, bin & lot numbers where the material has been stocked this facilitates the efficient back tracking of material as & when necessary.

Material Issue: - The system allows the passing out of material in following ways.

* To external parties
* To consuming departments.
* External rejections.
* Scrap.

The system maintains details of party towards whom the issues are being made the details included would be party name, address & code of party to whom material is being sent. The system maintains transporter details along with various details like octroi, C.S.T., C form details etc. The system also maintains packaging details of the items despatched apart from all this there is the additional facility of finalising the issue which acts as a management check to see that items despatched are the right ones.

Material requisition/indent: -

Any department forwards an Indent (Request for material) to the warehouse demanding for allocation of materials to that department as per their requirements the quantity, location & time by which the materials are needed is clearly mentioned in the materials indent. The system maintains all this in the material requisition, Depending upon the material indents the system can authorise indents these authorised indents would contain item details, department to whom it is being issued, what is the amount being issued against the demanded quantity, the zone & bin details along with buyer order number.

Transfer of items: -Transfer of items can take place

* Within a warehouse.
* Between warehouses.

When the transfer is within a warehouse the system maintains the warehouse, zone & bin code from which the material is being transferred & details of zone & bin to which material is being transferred along with the quantity of items being transferred along with item details.When the transfer is between warehouse's details like Indent number, buyer order number, details of both sender & receiver warehouses such as code number & address maintained, the transporter & packing details are also maintained by the system.

 

OTHER UTILITIES:- Apart from the various functions that the system performs as per the requirement of the warehouses it also provides some additional benefits those are as follows.

Module access: - The system provides limited access to users, i.e., it only allows user to access the information that he is dealing with, i.e., a person authorised to make only gatepasses cannot access other parts of system thus the system provides protection among users also.

Password : - The system maintains password thus allowing access to only authorised people.

Lot adjustments: -  The system allows for clubbing or splitting of lots depending upon the requirements of the user.

Opening balance: - The system maintains details about items along with their description & quantity this opening balance is based upon dates. There is also an option of finalising the opening balance.

Stock adjustments: - The system can take care of discrepancy between physical & ledger stock on authorisation. Both positive & negative values are accepted.

Classification of stock: - The system provides the facility of classifying material into scrap or non-saleable items.

Costing of Issues:- LIFO, FIFO, Average Cost, Standard Cost, Market Cost are the various methods that the system adopts in costing of issues.

Minimum &Maximum reorder details:- The system stores & indicates the minimum reorder levels details for various items in the warehouse.

 


REPORTS: -The system can print various kinds of registers so that the management can evaluate performance, The various registers are.

Material receipts register:- Material receipt register gives details about all the material that has been received from the various suppliers, processors or Internal departments.

Delivery note register: - For items that have been passed on to an external party the delivery note register would give transporter details, delivery note number, gate pass details, rejected item details.

Rejection note register: -Prints details pertaining to goods that have been rejected along with party details, material receipt number, & the reason for rejection.

Gatepass register:- The register stores details about various issues that have gone outside the warehouse.

Requisition report: - This report prints details about items indented by various departments along with quantity indented, & the quantity allocated.

Stock statement: - The system can print reports of items category wise, warehouse wise, stock quantity wise, value wise.

ABC analysis: - System can print ABC analysis report for inventory control. Items are sorted out as A class, B class, and C class items. Details printed in this report are item details, number of items, stock value, and percentage stock value. It prints a graph of percentage items (no of items) against percentage value (usage of the item)

Process register: - System prints a process register with details like process, processor, items issued, items received, percentage loss during a process & description of the process.

Ready for shipment report: - The system prints goods ready for shipment reports depending upon buyer orders.

Stock reports: - This report shows details about items depending upon their level of stocks like out of stock, more than maximum stock, items less than minimum stock, etc.

location listing : - System provides a list of locations of company; details printed are company code, name, location code, and name.

Warehouse listing: - System prints list of warehouses the details printed includes company code, name, location code, name, and warehouse code & name.

Cost centre listing: -System prints list of cost centres of company, details printed are company code, name, location code, name, cost centre code & name.

Process listing: -System prints list of processes all details of processes are printed like the standard input te output along with the code number of each process.

 

 

MASTERS:- The system maintains various kinds of masters these are as follows.

Location Masters: - The system accepts & maintains details about plant & warehouse locations it stores information like company location, company code, warehouse address, warehouse code, etc details.

Warehouse masters: -  The system maintains details about the various company warehouses there can be multiple warehouses in a location this master stores data relevant to different warehouses.

Zone Masters: -  The system takes the warehouse to be consisting of smaller divisions called as zones & bins for ease of maintenance the system stores details like capacity of zones & bins temperature ranges in the respective zones & bins.

Cost centres: -  The system stores details about various cost centres/departments to which items are issued & can be received from.

Processors zone: - The system captures details about various parties involved in the system namely the processors.

 

Process master: -  The system stores information like what form of good goes into (example. Raw Material) the process & in which form does it come out (Finished Good) permissible wastage, tolerance factor for items etc is also stored in this master.
